The 30th annual Sugar Maple Festival will be held Saturday and Sunday, April 19th & 20th.  This community event is expected to attract 15,000 people.  Please take note of these special instructions:

This is a juried show.  Each applicant should provide two photographs representative of their booth with product.  The festival committee has total control of the space available and reserves the right to reject any vendor deemed inappropriate or not conducive to the sprit of the festival.  The jury will limit vendors of similar type.  No vendor will be granted exclusivity.  When describing your items on the application, please be specific.  The festival committee shall have the right to ask for removal of any part of a display deemed inappropriate for any reason including those items not listed on the application that may conflict with another vendor.  Any whole-sale merchandise (up to 20% of your booth) must be enhanced or modified in several ways.  (That means do something more than change price tags.  I also shop at the whole-sale shows.)

Booth Space:  Festival booth space is approximately 10’ x 10’.  Priority consideration for same booth space will be given to returning vendors whose applications are received prior to January 31, 2008.  Any returned checks will be assessed a fee of $25.00 in addition to the fee your bank charges you!

 

Hours:     Saturday, April 19th:  10:00 AM – 7:00 PM., Parade 11:30 AM.

                 Sunday, April 20th:    Noon – 6:00 PM.

 

Set-Up:  Each vendor must provide booth structure and any licenses or permits that apply.  Electricity is available on a limited basis for an additional charge.  Vendors are permitted to set up Friday evening beginning at 5:00 p.m. (NOT BEFORE) and on Saturday morning from 7:00-9:30 AM.  A festival representative will be posted at the entry points.  The festival area is very congested during set-up, so please be patient.  Move all vehicles to the Sugarcreek Elementary School parking lot on East St. as soon as possible.  Booth numbers are found at the rear left corner of each space.  We suggest you bring blocks or other heavy devices to anchor your tent to the asphalt.  Absolutely no nails or spikes are to be driven into the pavement.  All displays must be contained within the designated space.

SECURITY IS NOT PROVIDED DAY OR NIGHT.  THE SUGAR MAPLE FESTIVAL IS NOT RESPONSIBLE FOR ANY THEFT, VANDALISM, OR DAMAGE TO YOUR PROPERTY.

Take-Down:  Merchandise should be packed and the booth taken down before your vehicle is brought into the exhibit area.  NO VEHICLES WILL BE ALLOWED IN THE FESTIVAL AREA DURING FESTIVAL HOURS.  THIS RESTRICTION WIILL BE ENFORCED BY THE BELLBROOK POLICE DEPARTMENT.

FESTIVAL IS RAIN OR SHINE:  The weather is very unpredictable in April, please dress accordingly.
